Reporting directly to the Manager: Gazoo Racing Marketing Communications, the contractor will provide administrative and operational support to enable the effective coordination of Gazoo Racing marketing communications, motorsport activities, suppliers, events and related projects.

 

The Gazoo Racing Brand comprises local and international motorsport events, Gazoo Racing products and branded initiatives. The role requires a highly organised individual who can maintain accurate financial and administrative records, coordinate travel and logistics, and support the team in delivering activities efficiently and in line with company requirements.

 

 

KEY PERFORMANCE AREAS:

 

  • Process supplier invoices, purchase orders, payment requests and supporting documentation, and follow up on outstanding payments;
  • Maintain accurate payment trackers and ensure documentation is submitted within required timelines;
  • Support budget administration by capturing commitments and actual expenditure, tracking spend against approved budgets and preparing regular budget status updates;
  • Assist with monthly budget reconciliations, accruals and variance tracking in collaboration with the Manager and relevant Finance stakeholders;
  • Coordinate domestic and international travel arrangements, including flights, accommodation, ground transport, itineraries and traveller documentation;
  • Coordinate administrative and logistical requirements for motorsport events, sponsorship activities, meetings, workshops, conferences, displays and hospitality programmes;
  • Obtain quotations, prepare supplier documentation and maintain organised records of approvals, contracts, invoices and deliverables;
  • Maintain project plans, action lists, calendars, contact databases and status trackers for Gazoo Racing activities;
  • Schedule meetings, prepare agendas and supporting documents, record action items and follow up with responsible stakeholders;
  • Provide administrative support for supplier, sponsor, agency and affiliate engagements;
  • Assist with the coordination and tracking of branding, merchandise, event materials, vehicle requirements and other project assets;
  • Ensure accurate electronic filing and document control in accordance with company processes and governance requirements;
  • Assist with general departmental administration, reporting and ad hoc tasks as required;
  • Participate in Kaizen and continuous-improvement activities within the department and with suppliers.

 

 

 

QUALIFICATIONS AND EXPERIENCE:

 

  • Relevant diploma or equivalent qualification in Business Administration, Marketing, Finance, Travel, Events or a related field;
  • At least 2 years’ experience in an administrative, project coordination, finance support, travel coordination or marketing support role;
  • Experience in processing invoices, purchase orders and payments, as well as maintaining budget trackers, will be advantageous;
  • Experience coordinating travel, accommodation, meetings or events will be advantageous;
  • High level of PC literacy, particularly Microsoft Excel, Word, PowerPoint, Outlook and Microsoft Teams;
  • Experience in the motor industry, motorsport, marketing or events environment will be advantageous;
  • A valid driver’s licence and willingness to support events outside normal working hours when required will be beneficial.
